Notification Requirement for Trainee Grant Applications

Grant applications submitted by graduate students or postdoctoral fellows, if awarded, may impose significant requirements on the activities of the trainee, and as such, should be submitted only following consultation with the faculty supervisor(s). The purpose of this policy is to encourage transparency and communication between trainees and their advisors, and specifically to ensure that faculty supervisors are aware of and approve in advance of grant applications submitted by trainees under their oversight.

  1. For the purposes of this policy, grant applications include any documents that either request research resources or indicate intent to apply for such resources and that are submitted to extramural sponsors. They include letters of intent, preliminary applications, and preliminary abstracts, in addition to standard submissions. 
  2. Research resources include, but are not limited to, funding, access to research records or databases, fellowships, stipends, or commitments of effort exceeding 1 week (e.g., extended travel awards).
  3. If a graduate student wishes to submit a grant application as Principal Investigator, prior to submission they must document the approval of the primary faculty supervisor for the specific application.
  4. If a postdoctoral fellow wishes to submit a grant application as Principal Investigator, prior to submission they must document in writing (e.g., email, letter) the approval of the faculty mentor or department Chair for the specific application.
  5. If a graduate student or postdoctoral fellow wishes to submit a grant application on behalf of a faculty member, prior to submission, they must document in writing (e.g., email, letter) the faculty member's approval.
  6. These notification requirements do not override PI eligibility requirements of the other Schools, which may specify additional or alternatives requirements or approval mechanisms governing PI eligibility.
  7. These notification requirements apply even if the trainee has been approved to serve as PI under the PI eligibility policy of another School at Dartmouth.
  8. These requirements are waived if the application includes a letter of recommendation from the faculty member whose notification is specified above, or if the application is routed through Rapport for faculty approval.
